ICDMO is a business-to-business computational CDMO. Most of the personal information we handle is ordinary business contact information supplied by people enquiring about services on behalf of their organisation. Separately, and more importantly for most of our clients, we handle scientific and technical material submitted for analysis. This policy covers both, and treats them differently because they carry different risks.
Business contact information is used to respond to your enquiry, prepare a feasibility assessment and proposal, deliver a project you have commissioned, and maintain the ordinary commercial record of that relationship. Where you have asked to hear from us about relevant services, we use it for that purpose until you tell us to stop.
Project materials are used solely to carry out the work you have engaged us to perform, and to produce the deliverables agreed in that engagement.
Material you submit for analysis remains yours. We do not use client sequences, structures, compound sets, omics data or results to train models for other clients, to enrich any commercial dataset, or for any purpose beyond the engagement under which they were supplied.
Project data is held under the confidentiality terms of the engagement, or under a separate non-disclosure agreement where one is in place. Access within ICDMO is limited to the personnel working on your project. At the end of an engagement we can return or delete project materials on request, and we will confirm in writing when deletion is complete, subject to any copies we are required to retain for legal or audit purposes.
Please do not send confidential sequences or unpublished structural data in a first enquiry. Ask us for a non-disclosure agreement first; we would rather sign one than receive material we are not yet obliged to protect.
Where data protection law requires us to identify a legal basis, we rely on the following: performance of a contract, or steps taken at your request before entering one, for enquiry handling and project delivery; our legitimate interests in operating, securing and improving our business for ordinary commercial correspondence and website operation; and compliance with legal obligations where retention or disclosure is required by law.
We do not sell personal information, and we do not share it for advertising purposes.
ICDMO operates from the United States and works with clients internationally. Information you send us will therefore be processed in the United States and, where a project involves partners elsewhere, may be processed in other countries. Where transfers are subject to transfer requirements under applicable law, we put appropriate safeguards in place before the transfer takes place.
Enquiry correspondence is kept for as long as needed to respond and for a reasonable period afterwards in case the enquiry resumes. Project records are kept for the duration of the engagement and for the period necessary to meet our contractual, tax and professional obligations. Project data files are returned or deleted on request at the end of an engagement, as described above. Where you ask us to delete information and no legal obligation requires us to keep it, we do so.
Depending on where you are located, you may have rights to request access to the personal information we hold about you, to have it corrected or deleted, to object to or restrict certain processing, to receive a copy in a portable format, and to withdraw consent where processing is based on consent. You may also have the right to complain to your data protection authority.
To exercise any of these, contact us using the details below. We will respond within the period required by applicable law, and we may need to verify your identity first.
We apply access controls, encrypted transfer for project materials, and internal limits on who can access client data. Computation is performed in controlled environments with project data separated between engagements. No system is perfectly secure, and we will notify affected clients promptly if a breach affecting their material occurs.
Our services are directed to organisations and professionals. The website is not intended for children and we do not knowingly collect information from them.
We update this policy when our practices change or when required by law. The date at the top of the page shows when it was last revised. Material changes affecting an active engagement will be communicated to the client directly rather than only by updating this page.

Please mark data protection requests clearly in the subject line so they reach the right person promptly.
